Minutes of Meeting – 6^th January 2020

The Chairman, Dave Barton (DB) opened the meeting at 20.05, welcoming those present and thanking them for their attendance.

The minutes of the 2019 AGM were adopted as a true record.

Chairman’s Report (DB)

The Chairman then gave his report. DB felt that 2019 had been a very successful year for the club. The main highlights in the year were the further development of the new website, and the introduction of new membership software towards the end of the year which will give members access to their information held on club records, and the ability to both update it and to manage their membership. More information is now being posted on the website, such as reports of events, and minutes of meetings, making this information much more visible and freely available.

Secretary’s Report – Highlights (AB)

• Membership at year-end stands at 46 compared to 49 last year, but club events are now better attended, so the deficit is being accounted for by non-participants not renewing. Membership for 2020 already exceeds that in 2019.
• Subs remain at £10 per person and £15 per couple. Agreed this should stay the same for the year. Two new categories of membership have been introduced to broaden appeal – social member and trade member.
• The annual dinner was held in February at the Chequers in Weston Turville with 28 members attending.
• Clive and Helen orgnised a very popular walking Treasure Hunt around Waddesdon in July, much enjoyed.
• The Grand Prix BBQ hosted again by Pete and Jill Mansfield in July was a very successful and sociable event. We hope to see more attendees in 2020.
• The annual quiz in December hosted by newcomers David and Julie Lloyd was extremely well attended, and the introduction of a buffet to this event made it even more popular, so we plan to repeat this in 2020.

Treasurer’s Report – Jack Martin (JM)

JM introduced the interim Club Financial Accounts for 2019, apologising because ill-health prevented him finalising these before the meeting. He reported that the financial position is strong, the PoO and Annual Quiz raffle both in profit, and the Amazon commission for the year was around £100. Moving the bank account to Metro Bank has proved beneficial making accounting for club funds more visible. A few queries were raised with the interim accounts, and JM will produce the final accounts before the next meeting.

However, it is clear that the club accounts are in a healthy state and we may be in a position to make a charitable donation later in 2020.

Election of the Committee for the coming year

Following a suggestion from the floor, the club committee officers were re-elected en masse:

Chairman – Dave Barton (DB), Treasurer – Jack Martin (JM), Secretary – Adrian Bennett (AB), Event Manager – Heather Barton, Commercial Manager – Helen Wayland, Members Rep – Debs Martin.

The first Meeting of the new Committee was arranged for Monday 3^rd February at 19.00 at The Barton’s.

There followed a general discussion:

• What events and activities to arrange in 2020. These will mainly be based upon those deemed successful in 2019. Members are encouraged to suggest possible new events and to participate in helping with the organisation of some of these. A list of future events will be published on the website early in the new year.
• The weekend away is a popular event, and the concensus was that we should again plan for this in September. Brian Deacon and Karen Hall have volunteered to organise.
• Annual dinner is the 1^nd February 2020. The venue is The Seven Stars in Dinton, dress optional but black tie or lounge suit for gentlemen and cocktail dresses for the ladies recommended. The committee has agreed a subsidy of £5 per head from club funds.
• Heather Barton has provisionally arranged three speakers for club nights in 2020 – these events have proved very popular in the past.

After the interval, Mary Skinner, who will be absent on holiday for the Annual Dinner, in February, presented The Skinner Trophy to the holder for 2020, Peter Mansfield (see featured image above).

There being no other business, DB gave a brief demonstration of the new member software, and this was well received by an enthusiastic audience.
